The Roundtable on Sustainable Palm Oil (RSPO) is a global partnership to make palm oil sustainable. Today, the RSPO is a global, non-profit organisation with over 6,000 voluntary members across 104 countries and territories, representing every link in the supply chain: oil palm producers, palm oil processors and traders, consumer goods manufacturers, retailers, banks and investors, environmental or nature conservation non-governmental organisations (NGOs), and social or developmental NGOs.

We are seeking a highly experienced and organised Senior Manager, MarCom to spearhead the organisation’s physical, hybrid and online events including strategy, planning, organising and executing. These events will include but not be limited to, the Annual Roundtable Conference (RT), Press Conferences, the General Assembly (GA), Roadshows, Webinars and other member and stakeholder related events.
This role manages all aspects of event management, including strategy, planning, internal and external stakeholder coordination, budgeting, logistics, sponsorships, programme development and execution.
This role requires an immediate start to take over from the incumbent the planning, management and execution of RT2025 taking place from 3-5 November in Kuala Lumpur, Malaysia. The successful candidate will need to possess exceptional project and time management skills, strong communication, and the ability to coordinate multiple internal and external stakeholders to ensure a successful event.
This role also oversees the content and design portfolio, overseeing two direct reports to ensure that all content (videos, podcasts etc) and designs (booths, leaflets, documents, etc) outputs are in line with RSPO’s visual identity and global key messaging.
The location of this role is Kuala Lumpur, Malaysia.
KEY ROLES & RESPONSIBILITIES
Duties include but will not be limited to the following:
Events
- For the planning and management of RT conferences (starting with the 2025 edition), duties include, but are not limited to:
- Lead the end-to-end planning and execution of RT with the appointed events agency, overseeing all related internal and external meetings (Organising Committee, vendors, venue, sponsors, exhibitors, speakers).
- Manage event programme, project plans, timelines, budgets, and documentation.
- Collaborate with the CFO on budget tracking, ensuring up-to-date records of income and expenses.
- Coordinate registration processes with relevant teams, including ticket monitoring and code preparation.
- Oversee planning and logistics of side activities (e.g., business matching, youth engagement, immersive exhibition).
- Liaise with the venue on menu, headcount, rooming lists, and other logistics.
- Manage logistics and documentation for sponsors, exhibitors, and vendors (e.g., MC, interpreters).
- Coordinate integrated communications efforts (social media, branding, website, speeches, CRM, etc.).
- Serve as main contact for all stakeholders (internal teams, vendors, venue, sponsors, exhibitors).
- Oversee development and maintenance of event tech platforms (registration system, mobile app, virtual platform).
- Ensure timely, on-budget delivery of all event components to quality standards.
- Manage on-site operations including setup, rehearsals, sessions, and teardown with the event agency.
- Conduct post-event evaluations and compile reports with recommendations.
- Support and provide guidance to divisions for regional and/or hybrid events
Content
- Develop a strong understanding of RSPO global messaging, key content pillars and themes and find ways to incorporate such content into opportunities to communicate with stakeholders during and outside of events.
- Stay current on sustainable palm oil conversations, large industry events and additional areas that could serve as content direction and ensure quality of content, design, and event outputs.
- Oversee that all content developed is adequately supported through high quality content outputs such as collateral, digital assets, and other integrated communications tools and channels.
- Oversee the development of RSPO’s podcast and other content channels that may be developed
- Oversee upcoming initiatives such as youth engagement and corporate video, and provide support and guidance as needed
Design
- Coordinate branded content design with the in-house designer to ensure all RSPO event displays, and promotional materials are accurately aligned with the new RSPO Visual Identity.
- Liaise with internal stakeholders, additional event organisers and designers to create marketing and branding materials for the event, when required.
- Oversee brand management, development, and guardianship
- Oversee upcoming initiatives such as content bank updates, and provide support and guidance as needed
General
- Work closely with key divisions to support all internal and external marketing communications needs.
- Ensure consistent messaging and tone of voice across key content, design, and event touch points in line with RSPO’s Global Messaging Framework.
- Work alongside the integrated communications team to identify opportunities and lead joint marketing communications campaigns with Members, partners, allies, and the industry at large.
- Ensure that all RSPO flagship and strategic events are adequately supported through integrated communications, including design and content e.g. relevant and timely development of communications collateral for live and virtual events.

THE SUCCESSFUL APPLICANT
Education
- Minimum bachelor’s degree in mass communications, marketing, public relations, business studies or relevant fields.
Experience
- Eight years’ of relevant experience in events and/or marketing communications.
- Understanding of Design and Content Development.
Technical and Professional Knowledge
- Excellent communication skills, including writing, proof reading skills and speaking.
- Business proficiency in English and Bahasa Malaysia, additional languages are desirable.
- Events experience
- Excellent organisation and time management skills.
- Experience with project management.
- Ability to manage multiple simultaneous tasks and work assignments.
- Excellent interpersonal skills both in person and by phone with high professionalism.
- Self-motivated and self-directed with the ability to accomplish projects independently.
