The Roundtable on Sustainable Palm Oil (RSPO) is a global partnership to make palm oil sustainable. Today, the RSPO is a global, non-profit organisation with over 6,000 voluntary members across 104 countries and territories, representing every link in the supply chain: oil palm producers, palm oil processors and traders, consumer goods manufacturers, retailers, banks and investors, environmental or nature conservation non-governmental organisations (NGOs), and social or developmental NGOs.

The position will be the key focal point for Finance to provide support for Latin America and Administration for Americas and Europe regions. The incumbent will be working closely with local vendors, relevant institutions as well as local colleagues in their respective countries to provide excellent, effective and efficient services.

The location of this role is Bogota, Colombia.

KEY ROLES & RESPONSIBILITIES

Duties include but will not be limited to the following:

ACCOUNTING ADMINISTRATION

  • Oversee all financial and tax matters for Columbia.
  • Maintain accounting books to comply with local accounting and tax (direct and indirect) requirements, as well as compliance with group reporting requirements under IFRS Accounting Standards.
  • Reconciliation of local accounting and tax records to RSPO group reporting.
  • Timely performance of all month end closing tasks including preparation of journals, schedules and reconciliations.
  • Perform monthly financial review and analysis for Colombia branch.
  • Coordinate the submission and payment of applicable taxes (direct and indirect) for Colombia on a timely basis.
  • Timely processing and recording of payments (vendor, staff claims, taxes and payroll, etc) for LATAM including verifying transactions, reconciling accounts, liaison with vendors and ensuring timely execution of payments.
  • Assist in collection of membership fees for the LATAM.
  • Monitor and manage the bank account to ensure sufficient funds to meet payment obligations.
  • Perform the banking operations or any matters relating to receipts, payments and compliance requirements.
  • Coordinate with fiscal auditor and legal representative, etc to ensure adherence to local compliance requirements.
  • Facilitate audits including the preparation of audit schedules and responding to audit queries.
  • Assist in implementing and maintaining effective internal controls to ensure compliance with all relevant financial policies and procedures.

ADMINISTRATION SUPPORT FOR AMERICAS & EUROPE REGION

  • Conduct travel bookings for Americas and Europe region colleagues once approval is obtained and work with approved local travel agencies in flight and accommodation booking including purchase of travel insurance.
  • Assist in making venues reservations for events and gatherings in the region for approved programmes.
  • Provide monthly updates on office rentals, shared working space rentals, office facilities, office utilities expenditures and required licensing for the Americas and Europe region and submit for approvals and timely payment.
  • Ensure monthly recurring fees are paid to vendors on a timely manner such as travel agencies, office rental, maintenance, and administration vendors.
  • Upkeeping the Bogota office and providing a conducive working environment to our colleagues and taking the necessary proactive action relating to office maintenance when needed.
  • Champion occupational safety and health best practices and ensure compliance according to local laws covering the Americas and Europe regions.
  • Work closely with HQ administration on the above and provide frequent updates and communications.

Apart from the duties stated above, you are required to perform any duty or duties reasonably assigned to you.

THE SUCCESSFUL APPLICANT

Education

  • Degree in Accounting, Finance, Business Administration or related fields.
  • Preferably with professional qualification such as certified accountant by recognised accountancy bodies

Experience

  • At least 5 years’ experience in accounting, tax, audit and finance operations
  • Preferably with relevant experience in using Salesforce and Certinia accounting software

Technical and Professional Knowledge

  • Experience in all finance functional processes and activities
  • Good accounting technical skills
  • Excellent interpersonal skills including verbal and written communication
  • Fluent in English
  • Proficiency in Google Workspace and Microsoft 365 including Word, Excel, and PowerPoint

  • High integrity and a good team player
  • Resourceful team-player, with the ability to lead the team in meeting various compliance and deadlines
