The Roundtable on Sustainable Palm Oil (RSPO) is a global partnership to make palm oil sustainable. Today, the RSPO is a global, non-profit organisation with over 6,000 voluntary members across 104 countries and territories, representing every link in the supply chain: oil palm producers, palm oil processors and traders, consumer goods manufacturers, retailers, banks and investors, environmental or nature conservation non-governmental organisations (NGOs), and social or developmental NGOs.

To provide comprehensive administrative and operational support to the Organisational Development (OD) unit, focusing on Learning & Development, Employee Engagement, Talent Acquisition, HR Strategic Projects, and Employer Branding to drive the organisation’s people and culture strategy effectively.

The location of this role is Kuala Lumpur, Malaysia.

KEY ROLES & RESPONSIBILITIES

Duties include but will not be limited to the following:

Learning & Development

  • Primary administrator for staff training activities, ensuring proper coordination and documentation of all training requests, approvals, and records in compliance with internal standards.
  • Organize and oversee training programs, including logistics such as venue arrangements, classroom setup, feedback collection, and payment processing.
  • Manage HRDC fund administration, ensuring timely submissions, payments, and adherence to regulatory requirements.

Employee Engagement

  • Develop and manage HR engagement initiatives, including the annual engagement calendar, newsletters, and employee engagement programs to foster clarity and effectiveness in internal communications.
  • Plan and execute events, team-building activities, and social gatherings to promote a cohesive and positive work environment.

Talent Acquisition

  • Assist in updating and maintaining organisation charts in alignment with the latest manpower reports.

HR Strategic Projects

  • Provide administrative and operational support for ongoing and upcoming HR strategic projects, contributing to the successful execution of Organisational Development initiatives.

Employer Branding

  • Represent RSPO at career fairs, effectively engaging with attendees to enhance employer branding and promote company values.
  • Support the development of strategic partnerships with universities, primarily in Malaysia and Indonesia, to strengthen employer branding and talent pipeline efforts.
  • A liaison between RSPO and academic institutions to foster sustainable relationships and identify opportunities for collaboration and mutual growth.

General Duties

  • Perform any additional tasks or responsibilities reasonably assigned to support the organisation’s objectives.

THE SUCCESSFUL APPLICANT

Education

  • Bachelor’s Degree in Human Resources Management, Business Administration, Business Management, or a related field.

Experience

  • Minimum 3 years experiences in the relevant field, preferably in Human Resources.

Technical and Professional Knowledge

  • Strong planning and organising skills, including data collation, compilation, and information management.

Other Special Requirements

  • Familiarity with current training and employee engagement trends is preferable.
  • Basic design skills using Canva, PowerPoint, or Adobe tools.

ESSENTIAL SKILLS

  • Proficiency in MS Office applications (Excel, Word, PowerPoint) and Google Workspace.
  • Experience in using SAP, Salesforce platform an added advantage.
  • Proficiency in English as the primary working language. Additional language skills (Bahasa Malaysia/Indonesia, Mandarin) are advantageous.
  • Excellent planning and organisational skills.
  • High integrity and a collaborative team player.
  • Strong interpersonal and communication skills.
  • Effective people management abilities.
  • Detail-oriented and well-organised with a proactive work approach.
