The Roundtable on Sustainable Palm Oil (RSPO) is a global partnership to make palm oil sustainable. Today, the RSPO is a global, non-profit organisation with over 6,000 voluntary members across 104 countries and territories, representing every link in the supply chain: oil palm producers, palm oil processors and traders, consumer goods manufacturers, retailers, banks and investors, environmental or nature conservation non-governmental organisations (NGOs), and social or developmental NGOs.

The purpose of this position is to performs Risk Administration related matter, supporting the Risk Unit to maintain an overall RSPO risk management activities, risk registry, and contributing to the monitoring and evaluation of all risks in relation to the RSPO Assurance System, as well as supporting the due diligence tasks under the Risk Unit
The location of this role is Kuala Lumpur, Malaysia or Jakarta, Indonesia.
KEY ROLES & RESPONSIBILITIES
Duties include but will not be limited to the following:
GENERAL ACCOUNTABILITIES:
- Working closely with the Head of risk and all managers within the Risk Unit, to ensure that the risk management plans (including risk register) is continuously implemented and updated as per the internal SOP;
- Assist the risk management & monitoring programme to conduct analysis on the identified risks as and when required, especially in record keeping and other administrative related matters;
- Provide admin support to review the risk management activities, this includes risk assessment and risk analysis;
- Provide support in establishing communication with the respective risk owner within RSPO Secretariat and where necessary involved external parties (if any);
- Send timely reminders and follow up with respective units/divisions within RSPO Secretariat on submission of relevant supporting documents pertaining to risk evaluation and/or due diligence reports;
- Assist the due diligence process to collect and compile documented information related to ongoing investigations, including initial diagnosis of cases;
PRINCIPAL ACCOUNTABILITIES:
- Assist the Head of the Risk Unit to ensure that the Risk Unit Webpage and Portal is updated on a monthly basis, in collaboration with the RSPO Comms team and/or with other respective unit;
- Create and maintain filing systems (manual and electronic) and databases; enter and retrieve information and perform file searches.
- Assist the Risk Unit team to raise, submit and follow up on all procurements activities relevant to the work undertaken.
- Establish and maintain a calendar of events and a deadline reminder system for assigned managers and Head of Risk; arrange meetings, coordinate travel arrangements and schedule appointments.
- Manage all incoming and outgoing mail, or e-mail, or faxes (if any) and phone calls related to the work of Risk unit in a professional, confidential, organized and efficient manner; act as a liaison as requested
THE SUCCESSFUL APPLICANT
Education
- Minimum a diploma degree in any related field, preferably from Business, Finance, Management, Office Administration, or other related subjects
Experience
- Minimum 3 years working experience in the relevant field, preferably in risk management and administration related matters.
Technical and Professional Knowledge
- Familiar with general administration, document processing, and data entry
Other Special Requirements
- Having knowledge of ISO 31000 Risk Management, or other internationally recognized risk management techniques;
- Having familiarity of the work of RSPO or any voluntary sustainability scheme is preferable
ESSENTIAL SKILLS
- Proficiency in MS Office applications (Excel, Word, PowerPoint) or other means such as google workspace;
- English is the professional working language used, however having other language spoken is an advantage (i.e. Bahasa Malaysia/Indonesia, or Spanish, or French, or Hindi, or Mandarin)
- Planning and organisational skills
- High integrity and a good team player
- Well organized, having good interpersonal skills and attitude
- Good communication skills (verbal and written).
